Before doors open
Do this the day before, or in the car. It is one of the shortest articles here and it is the one that matters most.
Export the crew PDF
Open your event, go to the Run of Show tab, and click “↓ Crew PDF” in the toolbar above the show. The download starts on the click. There is no options screen in between and no setup.
Every seat on the event can do this, view-only crew included. If you have a stage manager on a viewer seat, they can pull their own copy.
Export the guest agenda
The guest handout is a second document off a separate screen. Click “Guest agenda” on the event, set what guests see and what you’re calling it, then export from that screen.
That screen is open to admins and editors, so a view-only seat will not find the button. If that’s you, ask someone with edit rights on the event to send you the file.
Check the times you cannot move
Open the event’s Overview tab and read the “Immovable times” card. Everything marked HARD is a wall you told us about: doors, a curfew, catering, a contracted end. Thirty seconds confirming those still match what the venue says is the cheapest correction available to you today.
Then your show does not depend on us
Once those two files are on a phone or on paper, they need no login, no wifi, and nothing from us. Bad venue internet, a sign-in you can’t remember, or an outage on our side cannot touch your run of show. That is the whole point of doing it before the day rather than during it.
The files are yours and your client’s permanently, and the guest agenda carries your client’s branding rather than ours.
If you are running the show from Live Show
Export the PDFs anyway, and print one. The Live Show start screen says the same thing before it lets you press Start, and it is not the software being modest. A phone that arrives at the venue with no signal cannot open the live screen in the first place, and paper can be read in the dark by anyone. If something does go wrong on the day
Check planetevents.io/status first. It runs live checks against production for the site, the database, sign-in, and FlowGenius, it refreshes every thirty seconds, and it does not ask you to sign in. Inside the app, the Status row at the bottom of the sidebar shows the same board without leaving the page. We have no automatic alerting yet, so a red light there is something you may well see before we do — tell us if you find one.
Then send a Runner. Write to support@planetevents.io with RUNNER at the front of the subject line, or use the button on planetevents.io/contact that fills it in for you. A Runner is read before everything else in the inbox. Put the venue, where you are in the show, and what happened in your first three lines, because those are the lines we act on.
